Critical Path is another technique to do the Schedule Network Analysis. It’s again a very popular technique and we will study this method in next few slides.
First, let me explain what is a critical Path?
Critical path is defined as the longest duration path through a network diagram and determines the shortest time to complete the project. We will shortly learn on how to identify a critical path in a network.
Float is another concept, which is quiet important in understanding the critical path. Float is calculated once the network diagram is ready. There are three kind of float that can be calculated.
The first being the Total Float, which is the amount of time an activity can be delayed without delaying the project end date or an intermediary milestone.
The second type of float is Free Float which is the amount of time an activity can be delayed without delaying the early start date of its successor(s) activities.
The last type is Project Float which is the amount of time a Project can be delayed without delaying the externally imposed project completion date required by the customer or previously committed by the Project Manager.
You can think of float as a cushion time available to complete an activity. Float is also called slack.
Now, let me ask you. What is the slack of the activities on the critical path? The answer is Zero.
Because, there is no scope to delay activities on the critical path. Critical Path actually represents the Project duration.
They actually add together to the Project duration, so where is the scope for the delay? Delaying activities on the critical path is as good as delaying the project duration!

what is Quality? When do you say that Project meets quality expectations?
The answer is, a Project is said to meet Quality expectations, when all the Project requirements, agreed in the beginning of the Project are met and also the resulting Product of the Project is usable. When I say usable, means, the intended users of the Product can use the product without any problem.
You must have listened to the comments like System is too slow, I can’t use it. This is a below quality product. Now, you can relate to it, right? The users feel it’s below quality as it is too slow to be used!! Meaning, it’s not usable.
Now, let me ask you, who is Responsible for Quality in a Project? The answer is Project Manager..However, it’s the responsibility of each and everyone in the Project to ensure that whatever they do meets project quality expectations.
Also, it’s important to note that the quality comes at a cost. The more efforts are put in ensuring Quality; the better is the resulting Product. But, one can’t keep on investing in increasing Quality, as there is no limit to how better a product can be made. So, much to invest in quality is determined by knowing the optimal level of Quality.
Optimal level of Quality is supposed to be achieved when at the point where the incremental revenue from improvement equals the incremental cost to secure it.
Let me explain this with little more detail. Suppose you are the manufacturer of toys, but your toys are not good enough or in other words it’s below quality and no-one buys them. To make them better or of higher quality, you start investing in really identifying what kids want, give some initial samples to kids and see how happy they are with the toys and incorporate those feedbacks in making better toys. Now, you start finding parents ready to buy these toys.
But suppose you invest too much to make the toys of the highest quality, the cost of the toys will also increase accordingly… and it might become prohibitive for parents to buy.
Optimal level of Quality is reached for this toy manufacturer at the point, where in they get maximum number of buyers for the toys manufactured.

Performance Reporting is the last Project Communication Management process. It involves periodic collection and analysis of baseline vs. actual data to understand and communicate the project progress and performance as well as to forecast the project results.
Now, does it sound similar to Information Distribution? It does.
But it’s different than Information distribution in the sense that Information Distribution is about sharing the project status report as and when desired by the stakeholders, where as Performance reporting is about analyzing the project data, reporting on planned vs. actual as well as making forecast about the future.
Let’s look at the kind of reports prepared as part of performance reporting. Few such reports are:
Project Performance reports with respect to cost, schedule, scope and quality.
Trend reports on whether the project performance is improving or deteriorating
Earned Value reports
Forecasting reports on future project status and performance.
Let’s look at the inputs of this process. We will have already discussed all these documents listed as input to this process.
The tools and techniques are also quiet obvious. Just be aware of their names. You will not be ever asked in PMP exam about what are the different variance analysis methods used for variance analysis. You should just know that variance analysis is a technique used in analyzing planned vs. actual analysis in performance reporting.
Similarly, there are techniques used for forecasting the future project performance. Many organizations do use sophisticated software for such analysis, but in smaller project basic mathematical principles and common sense techniques can be used to create such reports.
This process results in Performance reports as output. In addition to that, change requests are also a very likely output. Why? Because, stakeholders may ask for some changes based on performance reports.
In addition to these two outputs, this process also results in updating the lessons learnt database. Can you think of why? Do this as an exercise…

Let’s look at the Develop Project Charter process in more detail. What does the Project Charter contains? Well, it varies little bit from Organization to Organization. But at minimum, a Project Charter should establish the existence of the Project and also provide authority to the Project manager to commit money and other corporate resources to the Project.
The project charter also contains the high level project requirement and it should be created by the Project Sponsor and handed over to the Project Manager. The Project Manager can do the ground work to prepare the Project Charter, but it must be signed by the Project Sponsor.
In many Organizations, the Project Charter tries to cover detailed risk, schedule, cost etc of the project. But let me remind you that a Project Charter is not a Project Management Plan. The detailed risk, schedule, cost analysis etc is part of the Project Management Plan and it should be done during the Project Planning phase, when there is more details about the project available to do so.
Now, Lets look at the key inputs to be considered in preparing the Project Charter.
The first being the “Project Statement of Work”. This is created by project sponsor or the customer describing their needs, project scope and how the project fits into their strategic goal. If the project is taken up under a contract, the Request for Proposal (ie RFP) can be considered as “Project Statement of Work”.
The second input to be considered for Project Charter is “Enterprise Environmental factors”. This basically means that any project to be executed within the Organization has to deal with the Organization culture and existing systems. You can think of this as “Organization baggage” that comes with the project. This is why same project being executed in two different organizations may be done differently!!!
The next input to be considered is the constraint and assumptions. Constraints are factors that limit the project’s options. For example, there can be a constraint on the money to be spent on the project, which is a constraint on the Project budget.
Assumptions are things that are assumed to be true, which may work out to be actually true or it may turn out to be false as well. For example, it may be assumed that Project would not require purchasing any third party component but while project is being executed there can be the actual need to buy a third party component. This is an example of assumption, which may work out to be wrong.
The last factor to be considered is Organizational Process Assets. This is a broad term and includes all the Organizational Process, Procedures and Policies, Corporate Knowledge Base and Historical Project Information. Every Organization develops set of process, procedures and policies that are based on best practices learned by the Organization over time.
The historical information includes things like past Project Management Plans, Risks, lessons learned, etc of similar project executed in the past.

The Project Charter and the Preliminary Scope Statement are inputs to the Planning Process Group.
Now, let’s look at the Specific Actions that are done during the Planning Process group.

Next, The Project deliverables are identified and also the work required to complete those deliverables. The work is also breakdown into smaller manageable pieces.
